Information for Organizers, Chairs, and Presenters

1. For Organizers and Chairs

Arrival

Please come to the “Time keeper’s desk ” at the right-front of the room and let the staff know by 10 minutes before the starting time.

 

Process and Timing

The organizers/chairs are expected to ensure that all presentations start and finish punctually as scheduled. If there is any change on the program schedule for symposium, please let the staff know of the changes. Staff will assist with timing. If there is no request, remaining time will be notified with bell signal as follows;
1 ring:  1minute to the end of presentation
2 rings:  End of presentation- Start of discussion
3 rings:  End of discussion - Time for next presentation


2. For Presenters of Symposium

Language of Presentation

Presentation language differs depending on session theme. You can find presentation language for each session theme at “Program” page on the meeting website.

 

Time allocation

Please be aware the time allocation for the presentation and discussion differs depending on each presentation.
Staff will assist with timing. If there is no request, remaining time will be notified with bell signal as follows;
1 ring:  1minute to the end of presentation
2 rings:  End of presentation- Start of discussion
3 rings:  End of discussion - Time for next presentation

 

Presentation Method

All presentation should be given with computers. You must bring your own computer.
※Please read carefully following notes on PC;

  • Bring an AC adaptor of your computer.
  • D-sub connecter will be used to connect your computer to presentation device. Please bring an appropriate converter if your computer does not have D-sub port.
  • No audio output will be used for the presentation.

Preview

Bring your computer to “Preview Desk” located at front in the left of the presentation room, 10 minutes prior to the start time.

 

Poster Presentation

All selected presenters for symposium from Talk must make a Poster Presentation as well.

 


3. For Presenters of Workshop, Talk, Young Scientist Award

Language

Japanese or English (by presenter’s choice at abstract submission)

 

Time allocation

講演時間は下記のとおりです。

Workshop

15min. (12min. for presentation + 3min. for discussion)

Talk

12min. (10min. for presentation + 2min. for discussion)

Young ScientistAward   

15min. (10min. for presentation + 5min. for discussion)

4. For Presenters of Poster

1. Time of posting, presentation / discussion and removal

Stand in front of your poster through the scheduled presentation and discussion time. Please wear the yellow ribbon representing the presenter during your presentation time.

2. Posting information

(1)Display Location
The last 3-digits number of presentation number is shown at the upper left corner of each panel. Please find your number and put up your poster. Push pins are prepared at each panel. See Poster panel layout to find your panel location.

 

(2)Panel Size
Each panel size is 90 cm wide * 210 cm high. Indicate your presentation title, author(s), and affiliation(s) at the top of the poster.

 

(3)Mark of Presenter’s Name
Place a small circle mark on the left of the presenter’s name.

 

(4)Language
Presentation and discussion will be made by the language you chose at abstract submission. If your presentation language is Japanese, please indicate title, author(s) and affiliation(s) in English as well as Japanese.

 

(5)Text Size
The poster text should be written large enough to be read 2m away. Illustrations and charts should be as large as possible.

 

(6)Removal
Remove your poster by yourself when the poster exhibition time is over. The Secretariat will not keep nor return posters.
